The thing I need from Notion is a calendar view of my database that will display whatever fields I choose and hide the others. For example, as the proud owner of a new MacBook Air, I am growing enamored with Bear for writing/note taking. Most of the things I do in Notion can be replicated elsewhere, even if I have to use separate apps. I’d say Taskade is as easy to learn if you work with people who aren’t familiar with Notion either, but it’s something to keep in mind if your team is already set up on Notion. Less widely used than Notion: This depends on what your team/clients currently use, but I’ve found many are more familiar with Notion.For this reason I still use Obsidian for basic notes that I need/want access to offline. This is less of an issue now but can be annoying if you like to work without the distractions of being online or tend to go on trips/other periods where you don’t have internet.

It’s also a nice replacement for Zoom that’s faster to use and doesn’t require you to install Zoom on every device. I find it more convenient than setting up a separate Slack and connecting each Notion board.

  • Instant messaging and video calling built-in: Chat and video calls are built-in across all teams/workspaces.
  • If you use the Pomodoro technique like me, it also has a built-in timer feature.
  • Specific designed for task management & lists: Taskade's focus is on helping you manage tasks and to-do lists, so it’s got lots of features like subtasks, tags, and prioritization options.
  • They use GPT 4 for the template/workflow building, which is obviously better than Notion's GPT 3/3.5. I’ve used the mind maps feature to generate proposals for clients and been extremely impressed.
  • Templates + built-in AI to build/augment them: They have a huge library of templates and AI-powered features to help build and keep your workflows organized.
  • It’s closer to Google Docs on this front than Notion’s more stilted collaborative editing.
  • Live editing + collaboration: Super useful if you want to collaborate on documents in real-time.
  • This is why I originally looked at Notion alternatives in the first place when they changed the subscription rates.
  • More teams/workspaces than Notion: The regular plan offers more flexibility for managing multiple projects than Notion.
  • It's definitely worth considering if you’re looking for a more productivity-oriented alternative. Taskade is probably the closest I’ve found to a full-on Notion replacement that focuses specifically on task management.
